Licensing

Every Tagaris feature is free. The free plan is the install owner, as many view-only people as you like, and one organisation, with no limit on assets and no trial clock. A licence key buys capacity: Team plans add seats (5, 10, 25 or 50) for the people who change things, and the multiple organisations add-on adds organisations. Single sign-on (with any OpenID Connect provider), the audit log, reports, the API and the Jira integration are included on every plan, the free one too. Device sync and the Entra people import are free as well, marked as still in testing. Current prices are on the pricing page. This guide covers the mechanics: what uses a seat, getting a key, applying it, and what happens over the life of a licence.

What uses a seat​

A seat is used by anyone who can change something: an Admin, an Editor, or a view-only person given a permission through an access group. View-only people who can only look are free and unlimited on every plan.

The install owner never uses a seat and is not counted as a user. That is the account the setup wizard made: the SuperAdmin, the break-glass password login, with full access everywhere. So the free plan is the owner plus unlimited view-only people, and a five seat plan is the owner plus five people who change things. Single sign-on changes none of this. The users page (Settings, Users) shows seats in use and view-only people separately. Roles and access has the detail.

Getting a key​

Purchase a plan on the pricing page. The licence key is sent by email within a few minutes of checkout. If it has not arrived within an hour, check your spam folder, then contact support@goodhallsolutions.co.uk and we will issue it manually.

Trying Team first​

Not sure yet? Request a free 30 day Team trial on the same pricing page: five seats, no card needed. Enter your work email and the trial key arrives by email; apply it exactly like a purchased key. One trial per organisation domain. While it runs, the banner at the top of the app shows the days left. When it ends the organisation returns to the free plan: nothing is deleted, but the seat holders are paused until a licence key is added. The owner and view-only people carry on.

Device sync (Intune and Jamf) and the Entra people import are free and open, and marked "still in testing" until they have been proven across a range of real tenants. No key is needed.

Applying a licence​

  1. Sign in as the install owner (the account created by the setup wizard).
  2. Go to Settings, then Application, then Licence.
  3. Paste the key into the licence box and apply.

Applying a purchased key contacts the licensing service once, to activate this install and collect a signed certificate. Day to day checks then happen offline on your own server. A key can be active on a limited number of installs at once; if you hit the limit, remove the licence from an old install first, or contact support.

Air-gapped servers​

If the server cannot reach the internet, email support@goodhallsolutions.co.uk with the install ID shown under the licence box. We reply with a licence file, which you paste into the same box. A licence file verifies entirely offline; the install never needs internet access.

More than one licence​

More than one licence can be active at the same time, for example a seat plan plus the multiple organisations add-on. The seat and organisation limits are the highest any active licence grants.

Renewals and refresh​

  • An annual licence's certificate covers the full term. The install does not contact the licensing service again until renewal.
  • A monthly licence refreshes once a day while the subscription is active. That daily check is how a cancellation takes effect.
  • The Refresh button on a licence fetches its latest state on demand, applying renewals and upgrades immediately.
  • Remove deactivates this install from the licence, freeing the activation for another server.

Moving to a new server​

Restoring a backup onto a new server keeps the install ID, so the licence carries over and keeps working. For a fresh install (no backup), remove the licence from the old server if it still exists, then apply the key on the new one.

If a licence lapses​

Nothing is deleted and you are never locked out of your data.

  • For 14 days after expiry everyone keeps working while admins are warned to renew. Features are not tied to the licence, so single sign-on, the audit log, reports, the API and the Jira integration carry on working throughout.
  • After that the organisation returns to the free plan. The install owner and the view-only people carry on. The seat holders (Admins, Editors and anyone with an access group permission) are paused and are told what has happened when they sign in. Their accounts and everything they recorded stay in place.
  • Renewing restores every paused account at once.

Assets, history and exports are untouched throughout. The free plan is never limited by the number of assets or by export.

Evaluation without a licence​

The free plan needs no key at all, and already includes every feature. Invite view-only people freely; to evaluate several people changing things, request the 30 day trial above. For development, a self-hosted install can also be run with LICENCE_ENFORCED=false in its environment, which lifts the seat and organisation limits without a licence.
